Members may identify photographic opportunities which may be of interest to other members. The venue may require the Society to provide Public Liability Insurance or the organiser may wish to have such cover in the event of an incident.
As a member of PAGB the Society does have the appropriate insurance, to ensure the the opportunity is covered, a protocol for the event must be followed.
The requirements are:-
- there must be a nominated Event Organiser(s) who carries out a risk assessment
- the event(s) to be advertised and open to all SPS members
- the event(s) to be minuted as Approved by the SPS committee
- the event(s) to be listed on the SPS website
- an accident Book to be used and maintained
The requirements are straightforward especially if the event is 2-3 months in the future. If a shorter duration is applicable then it will be necessary to request Society Secretary to get Committee Aproval by circulation and the minute the approval in the next Committee Minutes.
The steps to be taken are prepare details of the event including invitation to members to participate, forward to the webmaster to include on Web Site. When the event is posted the Web master will forward details of the event to the society Secretary for Committee Approval. Proceed with arrangements, with the knowledge that, in the unlikely chance that approval cannot be given the event may have to be cancelled, or proceed without Insurance.
If you require any further details, or details of the society’s insurance policy, please contact a committee member.
